Onsite Guidelines for Short Oral Session Chairs

BEFORE THE CONFERENCE:

  • Please familiarize yourself with the program, session and speakers.
  • Please prepare some backup questions.

START OF THE SESSION

Please locate the E-Poster Area in the conference center and the E-Poster station allocated for the session you are leading. This information is available in the Mobile App and in the program book. Please ask once arriving onsite, if you are in doubt.

Please arrive at the E-Poster stations 10 minutes before the start of the session. Please approach the E-Poster Helpdesk to receive your headset and microphones and instructions how to operate the E-Poster screen.

  • Headsets: These are used to avoid sound interference between groups at adjacent E-Poster screens. All participants need to collect these from a central point in the E-Poster Area and set them to the correct channel for the  session.
  • Microphones: There will be two microphones for each station. You will control your own microphone. The second microphone should be passed from one speaker to the next in the order of the E-Poster presentations. Please ensure that each speaker uses the microphone effectively. You will need to wear a headset to judge this.

DURING THE SESSION

Introduce the presenters and presentation titles before each presentation. You can view the outline of your session on the conference mobile app.

Short Oral Presentation presenters will have 3 minutes to present their E-Poster plus 2 minutes for discussion – total 5 minutes.

It is essential to keep the session on time. Please do not allow speakers to exceed their time. Please try to formulate at least one question for each presenter as back up if no questions are asked by the participants.

  • If a presenter does not show up, move to the next presenter. Check at the end whether this presenter arrived late and allow them to present. Please let us know about any no shows following the session.
